General information

Both managers and clients can create new projects.

However, the account administrator can disable project creation by clients in the Client portal settings if necessary.

Create project by client

1. To create a project, click on the Project menu on the top panel and then click "New project":

Or you may go to Projects and press the "New project" button:

Both of these actions will open the New project page.

2. Enter the basic project data into the fields:

  • Project name—the name of the project, text field.
  • Description—a description of the project, text field. If you have not found a language pair or specialization, you can specify them in the "Description" field.
  • Language pairs—the drop-down list of source and target languages for the translation project.
  • Specialization—the drop-down list of specialization for the translation project.
  • Client contact person— a contact person on the client's side. The manager can add or edit the contact person for the client.
  • Start at—the start date and time of the project.
  • Deadline at—the deadline date and time for the project.

Having entered all the data about the project, press "Create" button and the Project details page will be displayed:

Note: A newly created project has the "Draft" status and is not visible to the manager.

You can upload project files and Cat log files if necessary.

You can also update project details or delete the project.

To do so, press "More actions" and then click the relevant buttons:

3. Once you're done with the preparation, press the "Propose" button:

The request for the new project will be sent to the project manager, and the project gets the "Proposed by client" status:

4. In case you need to update the project, you should move it to the "Draft" status:

The manager will get the corresponding notification.

Note: If the project was accepted by the manager, thus, has the "Active" status, you will not be able to move it to draft or delete it:

5. If the manager hasn't accepted the project, you will get the corresponding email containing the rejection reason.

In this case, the project gets the " Proposal rejected" status:

You will be notified by email when the manager confirms the start of the project or rejects it.

6. When the manager completes the project, it gets the "Completed" status.

You will get the corresponding notification and you can Accept or Reject the project:

7. If you Accepted or Rejected the project, it gets the following statuses:

8. The project manager can also cancel the project when it is in the "Active" or "Completion rejected" statuses. If they do so, you will receive the corresponding notification, the project will get the "Canceled" status:

Create project by manager

1. To create a project, click on the Project menu on the top panel and then click "New project":

Both of these actions will open the New project page.

2. Enter the basic project data into the fields:

  • Project name—the name of the project, text field.
  • Description—a description of the project, text field.
  • Language pairs—source and target languages for the translation project, drop-down list of values you defined in the Language pairs settings.
  • Specialization—an area of specialization for the translation project, the drop-down list of values you defined in the Specializations settings.
  • Client—a client for whom the project is done. You can add or edit the clients on the Clients page.
  • Contact person—a contact person on the client side. You can add or edit contacts in the client's profile using the Contact persons tab.
  • Primary manager—a primary manager in your company who is responsible for this project. By default, the system selects the current user. Managers are added by an administrator on the Managers page.
  • Secondary manager—a secondary manager in your company who is responsible for this project if necessary.
  • Start at—the start date and time of the project. By default, the current time is selected.
  • Deadline at—the deadline date and time for the project.

Having entered all the data about the project, press "Create" button and the Project details page will be displayed.

The project status is "Active" now:

Here you can update project details, upload project-related files, enter receivables, assign jobs to translators, upload Cat log files, create the invoice for your client, create invoices for vendors.

Here you can also cancel the project if necessary:

The project gets the "Canceled" status, but you can reopen it if needed:

5. Once the project is done, press the "Complete" button and the system will notify your client about the project completion:

The project gets the "Completed" status.

You will be notified by email when the client accepts or rejects the project.

Or you can move forward the project by marking it as accepted or rejected:

6. If the client rejects the project, it gets the "Completion rejected" status with indication:

You will know the reason for rejecting it. You can fix the mistakes and complete the project again:

At this stage, you can also Cancel the project:

7. If the client accepts the project, it gets the following status:

You can reopen the project, if needed, by pressing "Reopen" button:

Project statuses

  • Draft status—the newly created project by a client gets this status.

It's not visible for the manager and the client can propose, update or delete the project.

  • Proposed by client—the project gets this status if the project was proposed by a client.

The client can move it to draft or delete, if needed.

The manager can confirm or reject the project.

  • Active, confirmed by manager—the project gets this status if the manager confirmed the proposal from a client or if the manager created the project.

The client cannot move it to draft or delete it.

The manger can complete, update, cancel or delete the project.

  • Proposal rejected—the project gets this status if the manager rejected the proposal from a client.

The manger can reopen, update or delete the project.

  • Completed—the project gets this status, when the manager completed it.

The client can accept or reject the project.

The manager can update, clone, save as template or move forward the project by marking it as accepted or rejected.

  • Completion accepted—the project gets this status when the client accepts it.

The manager can reopen the project.

  • Completion rejected—the project gets this status if the client reject it.

The manger can complete the project again, update or cancel.

  • Canceled—the project gets this status if the manager cancel the project.

The manger can cancel the project when the project has "Active, confirmed by manager" or "Completion rejected" statuses. If necessary, the manager can reopen it:
